Service Coordinator Assistant

You will be required to coordinate installations, repairs and service works by efficiently allocating engineers and liaising with customers in a professional manner

Log Callouts
Logging of breakdown calls immediately and checking to ensure the correct invoice and site address are complete on the database
Check for outstanding quotes, service calls and credit issues
Coordinate Installations and Quoted Repairs
Accounts will pass over new installations or quoted repairs.
Liaise with Sales for handover eg details of kit/customer requirements
Raise method statements/risk assessments where appropriate
Check on parts required, if in stock put onto a shelf in stores labelled by site
Determine date of site attendance, making contact with the client to introduce yourself as the point of contact for their works
Order parts appropriately
Liaise with the workshop engineer to ensure that kit is ready on time and is on shelf with engineer’s paperwork
Raise further Actions
Peruse the call screen daily to generate quote requests to MD
Update comments on the customers records
Co-ordinate Engineers
Schedule engineers appointments for breakdowns, repairs and installations. Call customer to advise appointment.
Raise and chase purchase orders
Process deliveries, dispatch and returns
Office Duties
Purchasing office sundries, stationery, and ad hoc items
Filing
Deal with incoming and outgoing post/packages
Ensure all mobile phones, tablets, vehicles and PPE are maintained and updated as and when required
Maintain and update training certificates

Excellent communication skills both written and spoken
Must be competent in Word, Excel, Outlook, Photoshop

Hours 8.30am – 5pm Monday to Friday
Salary up to £18,000 – £23,000 depending on previous experience
