Team Administrator

An excellent opportunity has become available for an experienced and capable team administrator to join a very well established architectural and surveying firm based in Colchester.

Job Purpose:
To assist with the efficient and smooth running of the Colchester office in conjunction with the Practice Manager and office administration team. To provide a professional and courteous point of contact for the team, output workload efficiently.

Key Skills Required:
Accuracy is essential with excellent attention to detail
Analytically minded
Excellent typing skills and excellent knowledge of all Microsoft packages
Minimum of 4 years direct experience
A strong understanding of the building consultancy environment

Duties:
Your duties are extremely varied and you will need to be adaptable, work methodically and have the ability to prioritise.

Secretarial:
Preparation of documents
Attending monthly meetings and administration meetings
General administration
Ensure both electronic and hard copy files are kept up to date
Ensure effective checking procedures are implemented for ALL documentation sent on behalf of the team.

Manager:
Prepare invoices to Clients as directed by the Team Leader or Office Partner, it is imperative that this is dealt with timely and systems implemented to ensure that financial deadlines are not missed.
Monitor timesheets for the team and ensure that this data is entered timely.
Enter information into the Manager system, including the creation of new jobs and generally ensuring that the system remains updated in a timely manner.

General:
Manage and maintain outlook diary system for the planning of meetings, management of the team, ensuring effective use of time to avoid duplications.
When meetings are minuted ensure that the team are fully aware of any resultant actions, and that these actions are closed out and resolved in a timely fashion.
Liaison with the Practice Manager during peak times, absence and holidays to ensure that the effectiveness of the team is not compromised.
Ensure that Client Feedback is obtained and recorded.

Marketing:
In conjunction with the elected representative of the practice wide BDM team ensure that regular Colchester office marketing meetings are arranged and ensure action points are produced, circulated and monitored.
Update the opportunities module within Manager to ensure that marketing campaigns are recorded and contacts updated.
Create PowerPoint presentations as and when required to be utilised as an effective marketing tool when meeting prospective clients.
