Main Purpose
The Administration Assistant will be responsible for giving general Finance Department support ( including Sales/Purchase Ledger teams and Purchasing Officer ) in carrying out the day to day activities within these areas.
Context
The remit will encompass all financial and wider reporting obligations as well as standing in during the absence of other personnel. There will be an element of assistance to both the Sales Administrator with the daily processing of Sales orders and the Purchasing Department with raw material procurement and processing of purchase invoices.
There is also a general administrative element to this position including tasks such as answering incoming calls/purchasing and distributing stationery/Safety footwear and occasional reception duties. This requires the job-holder to communicate effectively both within the accounting team and in the wider company environment.
Job Objectives
Assist fully with Sales and Purchase functions and provide absence cover as and when required.
Purchasing and distribution of internal stationery and safety footwear in a cost effective manner.
Perform administrative duties efficiently and effectively as and when required.
Limitations
The job holder must refer to the Financial Controller for any level of expenditure authorisation.
Attributes
The position of Administration Assistant calls for a good working knowledge of financial ledgers, with, preferably, a degree of qualification by experience.
On a personal level, there is a need for the ability to organise the job effectively and to work without constant supervision towards the targets set out above. Flexibility is essential.
This job requires extensive team work and thus the ability to get on with all colleagues.
NVQ in Administration, proof of customer focus training or willing to start working towards NVQ to Level 3
