3. TASKS UNDERTAKEN BY POST HOLDER
The following tasks are the specific responsibility of the post holder
Telephony. Ensure that telephones are quickly answered, especially during busy periods and if the Sales Administrator is occupied.
ACT! Contact Management. Assist and ensure at all new contact information is properly inserted into ACT!, and that the information in the database is both accurate and relevant. On no account should a prospect or enquiry not have any activities scheduled against them. On NO account should a customer be left without contact. If work tempo will result in such a possibility then the post holder should highlight such to the Sales Administrator so that the contact may be transferred to an alternative sales person.
New and Pre-Owned Unit Sales Interface. The following sales functions and targets are to be adhered to as a minimum
Outline Activity. Capture, refine and develop customer requirements through pro-active conversation/ dialogue (this can be through meeting, telephone and electronic/conventional mail) in order to match, promote and sell company products.
Courtesy. The post-holder is required at all times to remain courteous and friendly to all customers and prospective customers. Such levels are to be appropriate with a supplier/customer relationship.
Call Targets. Where enquiry levels facilitate, a minimum call level of 15 calls per day is required. Such calls only include activity that directly relates to progressing an enquiry or sale forward. This target, though fully dependant on enquiry levels, is for guidance and is aimed at ensuring that the Company does not leave customers out of contact for an adverse period of time (jeopardizing sales opportunities).
Appearance and Bearing. The post-holder must ensure that he/she is always smart and presentable. Clothing is to be clean, tidy and appropriate. Guidance from the line management should be sought for clarification. Due diligence to personal grooming/cleanliness is to be paid at all times.
Relationship Maintenance. The post-holder is to make every attempt to build friendly and mutually beneficial relationships with customers. Such a relationship requires constant attentions and maintenance; without loss of regular communication or diligence.
Customer Service Support. When the sales staff are unable to take a customer service issue directly, and only if the customer cannot wait, then any issues need to be identified and noted down on the after sales form and passed to the relevant sales person for info before onward transmission to the Logistics team. The logistics and admin staff will order any parts required and schedule in any work to be carried out with the maintenance team.
Retail Spare Parts Enquires and Orders. A parts order form is to be completed and prices authorized by the general administration staff. Payment is to be paid and cleared in full before goods will be ordered and dispatched.
Product Development. The post-holder is required to pay due consideration, where possible, to assisting in the development and implementation of new and existing products. This will assist in ensuring the Company’s future and improve the earning capacity of the sales team.
Marketing and Opportunity Development. The Post Holder is encouraged to develop Marketing Plans and Opportunities for the Managing Director’s review and subsequent approval/rejection. Such development is essential for the company’s rapid reaction to emerging market forces. Employees are therefore encouraged to maintain a keen observation for such development opportunities, and as such, they are allowed time to pursue such.
End-of-Day Security Check. Regularly and fairly assist the Sales Administrator with an end-of-day key security check and that a door check is conducted.
Office Cleanliness. Share the responsibility and tasks associated with ensuring that the Sales Team maintains the cleanliness of the Sales Office.
Line Management Assistance. Report to and assist the line management regarding general activities and strategies, ensuring that they are informed of all pertinent matters, and assisted with strategic decision making as they deems necessary.
Other. Any other tasks deemed suitable as required by the reporting chain or delegates thereof.
